Valvoline Global Operations Headquarters is located in Lexington, KY. We are open to candidates working in a remote capacity.
Valvoline Global Travel department operates as a CTD and is seeking a Global Travel and Expense Specialist who will be responsible for managing all aspects of travel arrangements for our employees, managing, monitoring, and supporting corporate credit cards, supporting the Concur Travel and Expense system, while ensuring safe and compliant travel for team members and working globally to standardize systems and processes.
In The Role, You Would Be Responsible For:
- Travel - Manages domestic and international travel arrangements, including flights, hotel accommodations, ground transportation, and passport/visa support for employees and candidates. Serve as a primary point of contact for all travel-related inquiries and issues, providing exceptional customer service to internal and external clients. Ensure travel itineraries align with the company’s travel policies and budget constraints. Communicate travel itineraries and changes promptly to travelers, including resolving any travel-related problems or emergencies by liaising with travel agencies, airlines, and other service providers.
- Expense Support – Support the travel and expense tool (Concur). This includes handling any change requests, creating and running reports for the finance team, and assisting with implementation to global sites. Ensure global policies are being followed.
- Continually strive to Implement strategies to manage and reduce travel costs without compromising the quality of travel services and identifying opportunities for cost savings and efficiency improvements.
- Travel Risk Management – Monitor, evaluate, and mitigate risks associated with international travel, including health, safety, and security concerns, and provide travelers with up-to-date information on travel advisories, entry requirements, and safety protocols.
- Stay updated with the latest travel industry trends and best practices. Assist with travel arrangements for large-scale corporate events, conferences, and meetings held abroad and domestically.
What You’ll Need
- HS Diploma required,
- Bachelor’s degree in Travel Management, Business Administration, or a related field strongly preferred, or years of experience will be considered.
- Minimum of 7 years of experience in global travel coordination or a similar role
- Proven experience in handling high volumes of domestic and international travel arrangements.
- Strong Sabre GDS proficiency
- Experience negotiating with travel service providers (airlines, rental cars, hotels, etc.) is strongly preferred
- IAR/ARC/Trams experience
- Proficiency in travel and expense management software (Concur) and tools, is preferred.
- Demonstrated ability to manage shifting priorities in a fast-paced, high-performance environment
- Demonstrated ability to collaborate and network across a multifunctional organization
- Excellent customer service and communication skills, with the ability to interact effectively with all levels of the organization and external clients
- Demonstrated ability to work as a team player; embracing the idea that success as a team comes first (and is most rewarding)
- Proficiency in Microsoft Office Suite (Word, Outlook, Teams & Excel)
