Job overview:
Ethics and compliance specialist to provide local support to Valvoline Global’s ethics and compliance program. This role will lead Valvoline Global’s investigation efforts in China and the APAC region, including conducting interviews, documenting findings, utilizing investigation systems/tools to ensure timely and efficient investigations. This position will help manage effective reporting avenues, as well as analyze data to measure trends related to ethics and compliance. In addition, this position partners with diverse stakeholders throughout the organization to resolve compliance matters and provides support for training programs.
Responsibilities:
Investigations:
- Investigates ethics and compliance issues, as well as some HR-related matters, as an objective representative of Valvoline Global. Conducts interviews and compiles findings into thorough reports.
- Maintain a position of independence and objectivity throughout the investigation process.
- Utilize a strong understanding of business ethics as well as Valvoline Global policies to develop appropriate recommendations that reinforce Valvoline Global’s values.
- Interprets trends in investigation data, and works with human resources, legal, and other internal stakeholders to present findings and recommended actions to leadership. Provide reports on a regular basis with case identification and outcomes.
Trains, coaches, and guides other internal partners on the investigation process and reporting avenues.
Ethics and Compliance Program:
- Responsible for the oversight of the local implementation of Valvoline Global’s ethics and compliance program, including reinforcement of company policies and procedures.
- Participate in annual risk assessments with legal, internal audit, and other teams as appropriate to review current program.
- Develop and implement local initiatives to increase awareness of ethics and compliance program.
Effectively communicate and reinforce ethics and compliance policies and standards to the local team through engaging communications and materials.
Training:
- Provide robust training to regional team on Valvoline Global’s policies and procedures, as well as general guidance on key ethics and compliance topics.
- Conducts effective induction and orientation sessions for new hires. Onboards new employees with ethics and compliance training, tracks learning/training trends, and ensures training records are maintained.
Policy Management:
- Help manage and track local policies for compliance with company wide policies and procedures.
- Provide guidance to local business on how to comply with Valvoline Global policies and published guidance.
Conflict of Interest:
- Assist in rolling out annual conflict of interest questionnaire and review of responses.
- Participate in the review of potential and known conflicts of interest and support proper action to resolve such conflicts.
- Work with legal, HR, internal audit, and other relevant stakeholders to conduct investigations and other appropriate courses of action that may be initiated from a conflict of interest that is disclosed.
Requirements:
-Minimum of bachelor’s degree in relevant field, such as Business, Ethics/Compliance, Legal, Human Resources, or Audit.
-Minimum of 5 years relevant experience required as an investigator.
-Significant work experience leading highly confidential and sensitive internal investigations, as well as interpreting policies and regulations.
-Possess analytical, strategic, problem-solving, assessment, interpretive, judicious, and articulation skills to plan, conduct, and document complex impartial investigations.
-Experience with performance management, disciplinary actions and interpreting employment practices.
-Utilizes influencing skills with leaders and key stakeholders in order to reach win/win outcomes that minimize risk to the company.
-Ability to understand organizational issues, influence and build relationships at all levels; strong communication capabilities and business acumen.
-Communication skills to convey communications accurately to a wide variety of audiences, and to properly communicate expectations around ethical business conduct.
-Familiarity with core ethics and compliance principles.
-Ability to develop and present training materials in an engaging manner.
-Proven ability to balance multiple priorities, partners, and work streams.
-Excellent attention to detail and strong technical, organizational, and analytical skills.
-Ability to think both strategically and tactically with strong problem-solving skills.
-Fluent in English and Mandarin.
