Valvoline Global Operations Headquarters is located in Lexington, KY. We prefer local candidates willing to work an in-office work schedule (4 days per week). 

 

How You’ll Make An Impact

The Executive Assistant to the CEO will serve as a key point of contact for internal and external constituencies on matters pertaining to the office of the CEO. Completes a broad variety of administrative tasks that facilitate the executive’s ability to effectively lead the department, including coordinating complex scheduling across multiple time zones; assisting the manager on specific projects while maintaining a high level of confidentiality, preparing information for meetings with staff and outside parties; composing and preparing correspondence and presentations; maintaining contact lists and calendars; and making travel arrangements. Responsibilities can vary in complexity from routine to projects requiring significant levels of detail, analysis, and material development. The ability to travel in a small capacity may be required. 

 

In The Role, You Would Be Responsible For:

  • Supporting the executive with calendar management, domestic and international travel arrangements, and itinerary creation.
  • Submits and processes key invoices, while assisting the manager with department budgeting and financial forecasting efforts.
  • Works closely with the manager of certain projects and meetings that need additional assistance.
  • Performs office management duties such as space planning, onboarding/offboarding, and ordering supplies and equipment.

 

What You’ll Need

  • Associate degree. Bachelor’s preferred.
  • 5+ years of experience performing complex administrative and/or office work, including 1+ years supporting leadership positions. Could supplement this experience with project management and/or communications roles.
  • Strong verbal and written communication skills.
  • Ability to manage multiple and changing priorities simultaneously
  • Competent with administrative processes.
  • Attention to detail and high level of accuracy.
  • Strong organizational skills
  • Proficient in Microsoft Office products and software (most notably PowerPoint).
  • Ability to prioritize and problem-solve.
  • High level of confidentiality
  • Availability to travel (up to 10%)
