Valvoline Global Operations Headquarters is located in Lexington, KY. We prefer local candidates willing to work an in-office work schedule (3-4 days per week).
How You’ll Make An Impact
Valvoline Global is seeking an Executive Assistant, reporting to a Valvoline Leadership Team (VLT) member. This role serves as the primary point of contact for internal and external constituencies on all matters about the VLT member. The position is responsible for a wide range of administrative and strategic support tasks that enhance the VLT member's ability to effectively lead their business unit and contribute to the company's success.
Key Responsibilities:
- Manage and coordinate a variety of administrative tasks, including special projects, complex document creation, report preparation, and presentation design.
- Gather, analyze, and prepare information for meetings with internal teams and external partners.
- Draft and manage correspondence, maintain contact lists, and oversee calendar scheduling.
- Arrange travel, process expense, and mileage reports, and ensure seamless logistical planning.
- Conduct research, compile financial and performance data, and develop content for reports, presentations, and executive-level communications.
- Assist in the creation of meeting materials, including presentations and agendas, while managing event and meeting logistics.
- Lead project initiatives by exercising independent judgment in selecting methods and solutions, ensuring deadlines are met within the business unit.
- This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
In addition, this role will be responsible for the following:
- Plans, develops, and implements business-level functional meetings and events. Works closely with manager to develop agendas, coordinates content and executes meetings, and also assists with communications as required. Assists with business support activities such as digital communications, payroll, personnel action forms, etc.
- Completes a broad variety of administrative tasks that facilitate the VLT member's ability to effectively lead their business unit, including travel and logistical arrangement; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists, schedules appointments, routine meetings, and locations and maintains electronic calendars, oversees office equipment inventory system within a business unit, completes expense and mileage reports, maintains and reconciles budgets, etc.
- Manages projects. Maintains databases containing program data, entering, editing, and correcting data as necessary; produces reports, lists, summaries, and other documents from databases. As necessary, creates databases using spreadsheet or database software; posts and maintains program accounts, entering data from financial transaction documents into computerized accounting spreadsheets or systems, etc.
What You’ll Need
- Associate degree; Bachelor’s degree is preferred.
- 5+ years of increasingly responsible experience performing complex administrative and/or office work, including 2+ years supporting leadership positions.

High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, vendors, etc.

Ability to complete a high volume of tasks and projects with little or no guidance.

Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround. Able to maintain a high level of integrity and discretion in handling confidential information.
