This role serves as a key point of contact for internal and external constituencies on matters pertaining to the executive. Completes a broad variety of administrative tasks that facilitates the executive’s ability to effectively lead the department, including: assisting with special projects; designing and producing complex documents, reports, and presentations; preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists and calendars; and making travel arrangements. Responsibilities can vary in complexity from routine to projects requiring significant analysis and material development.

How You’ll Make an Impact

  • Actively coordinates and participates in Valvoline Global Supply Chain key meetings helping coordinate agenda, meeting notes and post meeting follow-ups.
  • Assists executive with the development of presentations, reports, digital tools and regular organizational communications.
  • Performs office management duties such as ordering supplies and equipment, and approving time for payroll purposes.
  • Plans, develops and implements department-wide and corporate events and meetings. Works closely with manager to develop agendas, coordinates content, executes meetings and assists with communications, as needed.
  • Supports executive and managers with management of calendar, supports travel arrangements and assists with department budgeting and financial forecasting efforts.
  • Other duties as assigned

What You’ll Need

  • Associates Degree
  • 5+ years of experience performing complex administrative and/or office work.

  • 1+ years supporting leadership position. Could supplement this experience with project management and/or communications roles.

  • Strong verbal and written communications skills.

  • Ability to manage multiple and changing priorities simultaneously.

  • Competent with administrative processes.

  • Attention to detail and high level of accuracy.

  • Strong organizational skills.

  • Proficient in Microsoft Office products and software (most notably PowerPoint).

  • Ability to prioritize and problem solve.

  • Strong ability to hold highly confidential information as appropriate.

  • Ability to work well with other people.

  • Able to maintain a high level of integrity and discretion in handling confidential information.

  • Exceptional organizational skills and impeccable attention to detail.

  • Strong verbal and written communication skills.

  • Ability to design and edit graphic presentations and materials.

  • Strong ability to execute work with a diversity, equity, and inclusion lens.

  • Must be authorized to work in the U.S.
